Longterm archivation of electronic documents in cloud

The project is addressing security and validity of electronic documents from the prospective of long term archiving in cloud. Special attention is given to safe and secure mobile access to the documents archived in a trusted electronic storage in cloud.

There are many situations, first of all in public administration services, some of which are clearly set by the law, when it is required to maintain an electronic document in a fully usable condition after several tens of years. It is therefore necessary that the document meets the requirements for long-term readability and verifiability. For this purpose it is necessary to ensure adequate, secure, and safely accessible cloud space with required integrity where documents can be stored for a long time and also to work with them, use them and rely on their legally valid content. Each person has to store a number of documents during his life - starting from birth certificate, through school reports and qualification certificates to various employment and insurance contracts, property ownership data, etc. Keeping it in a paper form is usual so far but dangerous - it can be stolen, damaged by water or fire, etc. To keep the data in electronic form, instantaneously accessible and validated, in a secure place could be a huge benefit. It is a space for development of new services offered by public administration as well as by business entities. LAEDOC project aims to create such a trusted, long-term storage in accordance with the application logic that will use distinct advantages of scalability, availability and accessibility of storage in cloud systems. The highest requirements of safe and secure access to documents, archiving and security of their data mobility – including an access from mobile devices and immediate usability of stored documents. Part of the project is the analysis for trusted methodology of classification of cloud services in terms of usability for long-term archiving of documents and their security, integrity, availability and accessibility. The starting point of the project is the analysis of standards and standardization requirements of long-term archiving of documents (digital continuity), the possibility of keeping the clouds and safe access through mobile devices. The output of this phase is to create a model of the application for long-term archiving of documents with a view to ensure their long term validity. Reliable data storage with application logic works in the cloud. This application logic provides regular care of the maintenance documents with advanced electronic signature. We expect a possibility the solution to be exploited by third-party applications provided through web services. At the same time a client web interface will be be available to be accessed from mobile devices. Possible native client applications for various platforms will be also investigated, to ensure convenient storage utilization. Another objective of the project is to create a methodology to evaluate the safety and usability of cloud services applicable to the implementation of the application logic and the secure use of data space provided. This methodology will be used for an easy identification and ratification of another possible cloud services. The results of the project will be implemented in the electronic environment of archiving services. These systems are serving document flow of a large number of electronic documents that are completed by electronic signatures and time stamps. The most part of them are legally binding documents, which by law must be kept for decades. Need for long-term archiving of electronic documents and their long-term verifiability is growing in public administration as well as in commercial sphere.
